For Renters

How does San Antonio Audio Visual work?

We are a community rental hub that connects you with local AV technicians and companies. Simply browse equipment, add items to your quote list, and submit your request. The gear owners will respond with availability and pricing.

Do you own the rental equipment?

No. San Antonio Audio Visual is a platform that connects you with independent AV professionals who supply the gear. We help centralize the process, but each item belongs to the technician or company who listed it.

How do I request a quote?

Find the gear you need, click “Add to Quote,” and fill out the request form with your event details. Your request goes directly to the gear owners for confirmation and we will get back to you shortly with a quote based on the owner’s pricing.

Do I need an account to request a quote?

Yes, you’ll need a free account so you can track your quotes, invoices, and payments in one place.  Your account will be created when you place your first quote. 

How do payments work?

Once your quote is approved, you’ll receive an invoice through our system. We typically require a 50% deposit to secure your rental. The remaining balance is due after the event.

Who delivers the equipment?

Each vendor/technician is responsible for delivering and picking up their own gear. In some cases, multiple vendors may deliver separately for one order.

What happens if equipment is damaged or stolen during my rental?

The renter is responsible for equipment while it’s in their care. Charges for repairs, replacements, or loss may be invoiced.

Can I pick up gear myself instead of delivery?

This depends on the vendor. Some allow pickup, while most require delivery to ensure proper handling of their equipment and as most of the gear is just locally at their homes.

Can I rent gear outside of San Antonio?

Our primary coverage area is San Antonio and Austin, but some vendors may deliver to surrounding areas for an additional fee.

Do you offer onsite technical support of equipment?

San Antonio Audio Visual does not provide technical support directly. If you need help, we will connect you with the gear owner for troubleshooting or guidance.

Does SAAV offer technicians for hire?

No. We do not provide labor directly. We recommend contacting local labor companies such as AVTS or LASSO if you need technicians for your event.

Why don’t you show prices on the site?

Rental prices depend on availability, demand, and seasonality. Because gear is owned by multiple vendors, we confirm availability before sending you final pricing. Once your quote is turned into an invoice, you’ll see a complete breakdown by vendor, including equipment prices, fees, and applicable taxes.

Do you do long-term rentals?

Yes, long-term rentals are available depending on the equipment and the owner’s policies. Please include your rental period in your quote request.

Do you ship gear?

Some owners are open to shipping their gear, while others are not. Please contact us by email, phone, or text to discuss shipping options, and we will coordinate with the vendors.

For Vendors / Technicans

How can I list my gear for rent?

During beta testing, our team manually adds vendor gear. Later, vendors will have the ability to create their own listings through the platform.

Invites are limited to word of mouth of local technicans right now.

To join our waitlist, please fill out our vendor registration form and we will notify you when you have been accepted.

Who is responsible for delivery and pickup?

Vendors are responsible for handling their own delivery and pickup. This ensures the gear is transported safely and correctly.

How are payments handled for vendors?

When a renter pays their invoice, San Antonio Audio Visual collects the payment, then disburses the vendor’s portion according to the rental agreement.

What happens if my gear gets damaged on a rental?

The renter is financially responsible for damages, loss, or theft. If an issue arises, you’ll notify us and we’ll help facilitate recovery of costs from the renter.

How are vendors vetted?

All vendors are screened before being listed. We monitor client reviews, and vendors with repeated complaints or low ratings may be de-listed.

Do vendors pay to list gear?

Currently, there is no fee during beta testing. In the future, we may offer subscription plans or tiered vendor memberships to support ongoing platform growth.

How does San Antonio Audio Visual make money?

At this time, we apply a small percentage fee to cover invoice processing, website hosting, and equipment tracking. In the future, we may introduce subscription tiers or featured listing options for vendors and advertisement/sponsorship oppurtunities.
